Position Title: Executive Assistant & Fiscal Operations Manager

Job Summary:
Develops, manages, and administers processes, activities, budgetary responsibilities and reports related to Center for Excellence in Teaching and Learning (CETL). Under general direction and supervision of the Associate Vice President of CETL, provide high-level administrative, technical and analytical support to the department in the areas of financial, contract, purchasing, and travel. This position will perform complex budget/resource analysis including retrieving data from campus financial systems, organizing and validating data and the preparation of comprehensive reports for management. Maintain fiscal integrity for all funds and accounts and ensuring all funds are in auditable/reportable condition. Assist with fiscal close of activities.

Excellent computer skills; MS Word, Excel, PowerPoint, Outlook, Banner & Self-Service. 2. Excellent oral and written communication skills. Ability to interact with administration, faculty, staff, and students effectively. 3. Excellent anticipation skills and attention to detail required. Dependability and timeliness are essential to ensure smooth workflow within CETL. 4. Good organizational skills necessary to prioritize and assist with detailed-oriented project assignments in a fast-paced and deadline-oriented office. Proactive team player who assumes ownership of assigned projects. 5. Familiar with internal programs such as Concur, Elixir, BanWeb, Banner, Intranet, IT Requests and Facilities Requests. 6. Advanced knowledge of budget and/or account practices with Strong general math and accounting skills necessary to processing analytical budget queries and general account management. Including, but not limited to, internal budget transfers, ORG to ORG transfers, multiple ORG management, etc. 7. Must be able to work in a team-based setting yet function independently as needed. Experienced understanding and incorporating of the standard protocols of confidentiality. 8. Ability to compose non-routine correspondence on own initiative. 9. Ability to handle detail-oriented assignments. 10. Ability to work in a fast-paced environment and be flexible in job assignments.
Required Qualifications:
1. Education: Bachelor’s Degree in business or related field required, Master’s Degree preferred. 2. Experience: 3-4 years of administrative, office experience. Prior experience in education, health care setting, preferred.
