Position Title: Faculty Affairs Coordinator

Job Summary:
PRIMARY PURPOSE: This position reports directly to the Associate Provost for Academic Development. MaIntains and processes faculty promotion and tenure cases in dedicated institutional enterprise software and in Banner and acts as primary staff liaison with faculty using the former. Provides administrative support to the Chair of the Academic Senate as well as the Chairs of sub/ad hoc-committees and task forces that fall under the Academic Senate. Manages the budget and communications and records for the Academic Senate.
Knowledge, Skills and Abilities:
Individuals must possess these knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities. 1. Basic and advanced computer skills, specifically skills suitable for inputing navigating and managing various enterprise software systems used in higher education, ability to compose and format in Microsoft Office suite for word processing, email and mail merge, spreadsheets, slide decks, database software. Proficiency in electronic means of communication, proficiency in invoicing, processing reimbursements and making purchases and orders for Senate and Office of the Provost in compliance with university regulations, as well as curation of Senate and Provost’s Office documentation. This includes the ability to type proficiently and take and post in a timely fashion accurate minutes and notes. 2. Ability to maintain and disseminate accurate digital and paper records, integrated with Senate website and University records management standard operating procedures. 3. Ability to orally and in writing communicate with others in person, by utilizing a telephone, email, and mixed communication platforms such as Teams and Zoom. Ability to navigate complex scheduling tasks for large groups in Outlook, Zoom, Teams, Interfolio and other platforms as deployed. 4. Ability to effectively, discreetly and diplomatically interact with administration, faculty, staff, and students. 5. Ability to handle detail-oriented assignments with accuracy and maintain confidentiality. 6. Ability to work in a fast-paced office environment.
Required Qualifications:
QUALIFICATION STANDARDS: 1.EDUCATION: Minimum Associate’s degree, training or experience that provides the required knowledge, skills and abilities. 2.EXPERIENCE: 2-3 years administrative staff experience in a higher education or equivalent environment.
Preferred Qualifications:
Preference will be given to individuals possessing demonstrable experience and proficiency in using enterprise software packages in higher education, as well as orchestrating and recording remote and in-person meetings. Digital mail merge skills and knowledge of bulk mailing and email procedures a plus. Prior experience in academics or medical staff services office in a health care environment or similar experience preferred.
